Can you exchange funds on 401k at any time of the nite and they post next day?

Because I exhanged fund to fund one nite late and I recieved a letter in the mail saying it could not be processed because the DDE is closed.. Whatever that means... I called the company and they say they show no record of this transaction and I told them I have a letter saying this.. They just act like it never happened.. Someone explain this
